*Job Summary*
We are seeking a detail-oriented and dynamic Event Coordinator to join our team. The ideal candidate will be responsible for planning, organizing, and executing various social events (weddings and other events), ensuring that each event runs smoothly and meets client expectations. This role requires exceptional organizational skills, creativity, and a strong hospitality or customer service background. The Event Coordinator will work closely with clients to understand their vision and bring it to life while managing all logistical aspects of the event.
*Responsibilities*
· Represent the Event Sales team in a professional and courteous manner ensuring you are welcoming, accommodating and helpful to clients and fellow team members
· Effectively manage your schedule reaching out to clients prior to their event
· Email reminders to clients for important appointments and confirm dates with them for their Menu Tasting, Rehearsal, 48-hour meeting
· Answer all incoming phone and email inquiries in a timely manner
· Site visits of the venue with existing or potential new clients when needed
· Update event files with vendor information, timelines, menu selections and special requests
· On-site day of weddings to ensure all details have been taken care of and assist with facilitating processional and directing guests.
· Assist when needed with the preparation of event and wedding contracts
· Demonstrate respect and courtesy for all individuals encountered on the job - management, fellow team members and guests
· Arrive to work promptly and well-presented and professional in appearance
· Hours ? Flexible schedule with availability to work afternoons, evenings and weekends
· Participate in tradeshows
· Willingly accept additional tasks as required for the effective functioning of the work unit
*Experience*
* Proven experience in event planning or coordination within the hospitality industry is preferred.
* Strong organizational skills with the ability to manage multiple projects simultaneously.
* Excellent customer service skills with a focus on guest satisfaction.
* A background
* Time management skills to prioritize tasks effectively under tight deadlines.
* A background in hotel or restaurant management is a plus but not required.
