The ideal candidate will be responsible for overseeing front-office functions, ensuring smooth patient flow, maintaining patient records, coordinating schedules, and providing exceptional customer service. Knowledge of medical billing, scheduling, and patient management systems is required, with a strong emphasis on proficiency in PS Suites.</p><p><strong>Key Responsibilities:</strong></p><ol><li><p><strong>Patient Scheduling & Coordination:</strong></p><ul><li>Schedule patient appointments, follow-ups, and procedures using PS Suites scheduling system.</li><li>Ensure proper patient flow and minimize wait times.</li><li>Coordinate with medical staff to manage physician schedules and resources.</li></ul></li><li><p><strong>Medical Records Management:</strong></p><ul><li>Accurately input and update patient information, demographics, and medical history in the PS Suites EHR system.</li><li>Maintain confidentiality and comply with HIPAA regulations when managing patient records.</li><li>Ensure timely documentation and record keeping for all patient visits and procedures.</li></ul></li><li><p><strong>Billing & Insurance Verification:</strong></p><ul><li>Process insurance verifications, pre-authorizations, and referrals using PS Suites.</li><li>Follow up on unpaid or denied claims and assist with resolving billing discrepancies.</li></ul></li><li><p><strong>Front Office Operations:</strong></p><ul><li>Greet and check-in patients, ensuring they complete necessary forms and provide insurance information.</li><li>Answer phone calls, respond to emails, and handle patient inquiries in a professional manner.</li><li>Assist patients with account-related questions, billing concerns, and appointment rescheduling.</li></ul></li><li><p><strong>Administrative Support:</strong></p><ul><li>Prepare and manage patient charts, medical forms, and documents.</li><li>Maintain office supplies and equipment, ordering as necessary.</li><li>Perform other administrative tasks as required by medical staff and management.</li></ul></li><li><p><strong>Compliance and Quality Assurance:</strong></p><ul><li>Ensure all medical and administrative procedures comply with state and federal regulations.</li><li>Participate in ongoing training to stay up-to-date on PS Suites updates, billing practices, and medical office protocols.</li><li>Assist in audits and ensure office records are organized and accessible for inspections or compliance checks.</li></ul></li><li><p><strong>Collaboration and Communication:</strong></p><ul><li>Foster effective communication with physicians, nursing staff, and other healthcare professionals to ensure quality patient care.</li><li>Assist in managing patient referrals and follow-ups between departments and specialists.</li></ul></li></ol><p><strong>Qualifications:</strong></p><ul><li>High school diploma or equivalent; additional certification in medical administration or a related field is preferred.</li><li>Proven experience in a medical office environment, with a strong preference for candidates who have experience using PS Suites software.</li><li>Knowledge of medical terminology, insurance processes, and healthcare regulations.</li><li>Strong communication skills, both verbal and written.</li><li>Excellent organizational skills and attention to detail.</li><li>Ability to work independently and as part of a team.</li><li>Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and medical software, particularly PS Suites.</li><li>Basic knowledge of medical billing codes and insurance procedures is a plus.</li><li>Friendly and professional demeanor, with a focus on customer service.</li></ul><p><strong>Physical Requirements:</strong></p><ul><li>Ability to sit for extended
