We are looking for a *part-time Medical Office Assistant (MOA)* or *Administrative Assistant* to join our small but busy clinic. This role is ideal for someone who is organized, detail-oriented, and passionate about helping people. While previous medical office experience is an asset, we?re also open to candidates with strong administrative backgrounds who are eager to work in a healthcare setting.
*What You'll Be Doing:*
In this role, you?ll play a key part in keeping our clinic running smoothly. Your focus will be on ensuring a seamless experience for our patients, from the moment they walk in the door to the moment they leave. Here?s a snapshot of your day-to-day:
* *Welcoming Patients*: Greet patients with a friendly and professional demeanor as they arrive for their appointments. You?ll ensure they have all the information they need and guide them through the check-in process.
* *Scheduling Appointments*: Manage patient appointments with efficiency and care, making sure the physicians? schedules are coordinated and adjusted as needed. You?ll also follow up with patients to confirm or reschedule appointments.
* *Keeping Things Organized*: Organize patient records, prepare charts, and update information in our *electronic medical records (EMR)* system. Keeping things organized helps everyone stay on track!
* *Phone Support*: You?ll be the first point of contact for many patients, answering phone calls, directing inquiries, and helping with scheduling and general information.
* *Managing Office Tasks*: From sorting mail to maintaining office supplies, you?ll ensure the clinic is always running smoothly behind the scenes. You?ll assist with general office tasks like filing, faxing, and updating patient forms.
* *Lab Results and Follow-Ups*: Help us keep on top of lab results, ensuring they?re properly filed and accessible to the physicians. You may also follow up with patients to provide information and next steps when needed.
* *Collaboration*: Work closely with our office manager and our physicians to support a friendly, efficient clinic environment. Whether it's assisting with patient communication or helping keep the waiting room calm, you?ll always be an integral part of the team.
*What We?re Looking For:*
We?re looking for someone who is *reliable, adaptable*, and able to manage a range of tasks with a positive attitude. While prior experience in a medical office is great, what matters most is your ability to stay organized, communicate clearly, and support our patients and team. If you?re someone who enjoys being the glue that holds things together, you?ll fit right in.
*The ideal candidate will have:*
* Experience in *administrative roles* or office work (experience in healthcare or medical offices is a bonus, but not required).
* Strong communication skills?whether it?s answering the phone, speaking with patients, or interacting with colleagues, you?re comfortable and professional in any situation.
* A keen eye for detail and the ability to juggle multiple tasks at once.
* Comfort with technology: Familiarity with *EMR* systems, phone systems, and general office software is an asset.
* An understanding of patient confidentiality and a commitment to maintaining privacy.
* A team-oriented attitude with the ability to work independently when needed.

*The Schedule & Environment:*
* *Hours*: This is a *part-time* position (20 hours/week), with flexible scheduling. The hours will likely be in 4-5 hour shifts, with the possibility to increase to full-time if the need arises.
