*Job Summary:*
*We are seeking a friendly, organized, detail-oriented, and proactive Receptionist to join our team. The ideal candidate will have excellent communication skills, a great memory, and a strong ability to conduct online research. They should be able to engage with potential clients to book meetings, ensure smooth in-office operations, where attention to detail and professionalism are paramount, and otherwise support the administrative needs of the team. This role involves responding to client inquiries by phone and email, managing appointments, client information, and assisting with various administrative tasks. *
*Key Responsibilities:*
* *Client Interaction & Appointment Management: *
* *Serve as the first point of contact for all incoming clients and visitors, ensuring they feel welcome and valued.*
* *Effectively communicate with potential clients to encourage consultation bookings and handle any inquiries they may have.*
* *Book and manage meeting schedules, ensuring that appointments are scheduled accurately and efficiently.*
* *Maintain and update client contact information, ensuring that all details are accurately recorded in the system.*
* *Office Supplies & Inventory Management: *
* *Monitor office supplies and inventory to ensure that essential items (stationery, office equipment, etc.) are always stocked.*
* *Regularly check stock levels and reorder items when necessary, ensuring smooth daily operations.*
* *Administrative Assistance: *
* *Assist with administrative paperwork, filing, and organizing documents as needed by the team.*
* *Help prepare materials for meetings or presentations, ensuring everything is in place before scheduled events.*
* *Client Relationship Management: *
* *Ensure clients feel comfortable and informed throughout their visit, offering a professional and friendly atmosphere.*
* *Follow up with potential clients to confirm appointments or gather additional details as required.*
* *Online Research & Information Gathering: *
* *Conduct research online as requested to support various office and client-related needs.*
* *Gather information regarding potential clients, services.*
* *General Office Support: *
* *Ensure the reception area is tidy and presentable at all times.*
* *Answer and direct phone calls, manage email inquiries, and handle other administrative duties as necessary.*
* *Provide support to the team as required with various tasks.*
*Qualifications:*
* *Experience: *
* *Proven experience as a receptionist, administrative assistant, or similar role is preferred.*
* *Strong experience in client-facing roles with excellent communication skills.*
* *Skills & Abilities: *
* *Excellent verbal and written communication skills, with the ability to engage clients effectively and professionally.*
* *Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.*
* *Solid online research skills to gather relevant information and support various office needs.*
* *Proficient with office software (e.g., Microsoft Office, Adobe Acrobat) and capable of learning new tools quickly.*
* *Ability to manage sensitive and confidential client information responsibly.*
* *Personal Attributes: *
* *Strong memory and ability to remember client preferences and important details.*
* *Friendly, approachable, and easy-going attitude, ensuring a welcoming atmosphere for clients and visitors.*
* *Detail-oriented with a proactive approach to problem-solving.*

*Additional Skills (Optional):*
* *Basic bookkeeping or accounting knowledge: Ability to assist with invoicing or managing basic financial records.*
