Under the direction of the Business Controller, this role is responsible for performing general receptionist duties, answering telephone lines, greeting visitors, accepting courier deliveries, filing documents, receiving and sending reports, and data entry. As part of this role, the Receptionist maintains office stationery supplies, manages travel bookings, submits permit application documents, and other duties as assigned.
Responsibilities:
* answering telephones and greeting visitors
* Maintains filing responsibilities; both physical and digital documents
* Data input and other duties as instructed by Business Controller
* Type, audit, receive and send reports
* Type fire extinguisher training cards / certificates
* Permit applications to various cities, towns, and municipalities.
* Retrieve mail from outside mailboxes located on Transport Road.
* Review, sort and deliver the mail to recipients.
* Performs computer data input as instructed
* Makes business travel arrangements and hotel bookings as required for company staff
* Maintains and orders office stationery and supplies as required, including batteries and toner cartridges for various printers in individual office
* Perform physical inventory count duties as part of the team on a semi-annual or more frequent basis as directed
* Perform special projects as directed
* Various human resource duties as assigned
* Answer business telephone calls within 2 rings and direct the call according
* Prompt greeting of any visitors to the company premises
Qualifications
* Grade 12 graduate
* Additional education or training in office administration or accounting is desirable Minimum of 1 year office work experience is expected
* display a professional level of telephone and interpersonal communication etiquette in a receptionist role
* proficient computer skills in Microsoft Office software
* willing to learn new software programs and processes as required
* Be able to maintain an effective level of self-motivation and be goal or task oriented
* Have ability to multi-task and work effectively with minimal direction or supervision in a busy office environment
* present a professional image, attitude & behaviours at all times when dealing with customers, suppliers, other service providers and fellow staff members
* have reasonable verbal and written communication skills
* have transportation to and from Bison office
* demonstrate a positive and supportive team player attitude and be able to take direction from others
