*Property Manager ? Non-Profit Co-operative Housing*
Vancouver Island Business Enterprises (VIBE) currently has a vacancy for Property a Manager for a Co-operative Housing Portfolio. The primary accountabilities for this position consist of assisting the Co-op Board of Directors with the management of their buildings and community. The position requires you to be a creative problem solver, have good listening skills, patience, flexibility and facilitate the expectations of the Board of Directors.
*Some of the Key Duties and Responsibilities:*
Administration:
* Attend monthly board of director meetings and two general meetings per year
* Taking minutes of board of director meetings and general meetings, as required.
* Facilitate approval and payment of supplier invoices and other expenses.
* Ensure member files and housing charges are up to date and correct.
* Presenting financial statements at board meetings
* Assist with preparing annual budgets for the co-ops
* Assist the Administration and Finance department in providing all necessary information/documents to the audit firm for the co-op?s annual audit.
* Prepare letters and notices as required
* Ensure co-op members are not in arrears / address arrear issues / advise the board of directors of arrears
* Must have experience with Microsoft Word and Excel
* Experience with Teams and SharePoint an asset
* Experience or knowledge of Co-operative Housing an asset.
* Time management skills, high accuracy and attention to detail
* You must be able to demonstrate strong interpersonal skills and the ability to work independently as well as within a team environment
* Prepare meeting packages
* Prepare letters to members as directed by the boards
Advisory Role:
· Assist the board of directors/co-ops in adhering to the Co-operative Act, Rules, Occupancy Agreement and Policies of the co-op.
· Assist the board of directors in ensuring they are following PIPA (Personal Information Protection Act).
* Assist the board of directors with preparing their annual budgets
* Preparing Special Resolutions as required
Support for Facility Maintenance
* Obtaining Quotes for projects, as required
* Assist with Work Order requests from the members/residents in the co-op
* Contact the necessary vendor to attend to repairs
* Keep track of monthly/annual maintenance of building components
* Assist with creating a maintenance plan
Supervision of Administrative Support
* Ensure income reviews are being processed in accordance with the FCHI 2 program
* Ensure housing charges are being collected
* Arrears are being collected
* Ensure all supplier invoices and other expenses are paid and correctly coded to General Ledger.
Qualifications and Skills
* Experience with Microsoft Word, Excel, SharePoint, Teams, Zoom
* Experience with Quick Books and Sage accounting systems an asset
* Time management skills, high accuracy and attention to detail.
* You must be able to demonstrate strong interpersonal skills and the ability to work independently with minimum supervision as well as within a team environment.
* Experience or knowledge of Co-operative housing an asset
* Facility management an asset

* Salary: $62,000 to $72,000 depending on experience
* This is a full-time position (40 hours a week). The hours of work are typically 8:00am to 4:00pm, however the position may require some flexibility with hours. The position may require you to work at various locations; *applicants must have their own vehicle*.
