*Position Summary:*
Under the direction of the General Manager, the Administrative Assistant is responsible for performing a wide range of administrative functions while providing support to the accounting department and senior leadership.
*Job Responsibilities:*
* Serve as the primary receptionist, greeting visitors and managing incoming calls.
* Maintain an organized and efficient office environment by managing office supplies, equipment, and facilities.
* Facilitate travel arrangements for technicians, ensuring timely bookings and itineraries.
* Coordinate with external IT department to address technical issues and support the organization's technology infrastructure.
* Manage shipping coordination and paperwork for local, national, and international shipments.
* Responsible for maintaining Accounts Payable records, including accurate and timely processing of invoices and payments.
* Create and issue purchase orders, invoices for Accounts Receivable and opening jobs within our tracking software, ensuring accuracy and compliance with company policies.
* Generate Purchase Orders and match invoices to Purchase Orders, verifying the correctness of pricing, quantities, and terms.
* Review and allocate employee timesheets to specific projects, ensuring accurate tracking of labor costs.
* Perform bank and credit card reconciliations to maintain financial accuracy and compliance.
* Help arrange maintenance, tracking and upkeep of our fleet of vehicles.
* Other duties as assigned.
*Required Experience and Qualifications: *
* Diploma in Business Administration or Accounting is preferred, with a minimum of 1 year experience.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
* Strong organizational skills and attention to detail.
* Excellent communication and interpersonal skills.
* Ability to work independently and handle multiple tasks efficiently.

*Travel:*?0-5%
*Physical Demands:*?Lifting a minimum of 50lbs, occasionally. Position is a desk position. Long periods of computer and/or phone work is required.
