*Role Description *
Nova Scotia Hospice and Palliative Care Association (?NSHPCA?) is a mission-driven community-based organization fostering community collaborations in grief, bereavement, and emotional wellness for Nova Scotians. Dedicated to enhancing the quality of hospice and palliative care as well as partnering in the implementation of the Nova Scotia Grief, Bereavement and Emotional Wellness Model.
As the provincial organization that leads community based Advanced Care Planning for Nova Scotia, and a key player in coordinating existing grief-related resources, NSHPCA is led by a dedicated and hard-working board of directors. It has historically relied on valuable volunteers and partners to achieve its mission and coordinate resources in the community.
*Role Overview *
The Administrative Assistant role is an exciting opportunity for candidates with administrative assistant skills and experience to support NSHPCA during this time of growth and opportunity.
_Responsibilities?include (but are not limited to): _
* Respond to phone and email enquiries, information requests and voicemails ensuring they are directed appropriately
* Preparing reports and maintaining filing systems
* Organize and schedule appointments
* Schedule and distribute Board and Committee meeting materials
* Coordinate meeting logistics, and take detailed minutes
* Write and distribute email, correspondence memos, letters, and forms
* Update and maintain office policies and procedures
* Order office supplies and seek opportunities for cost savings and identify potential suppliers
* Maintain contact lists
* Submit and reconcile expense and visa reports
* Act as an initial point of contact for internal and external community partners as appropriate
* Liaise with Executive Director to handle requests and queries
* Excellent organizational and planning capabilities.
* Receive and process electronic and physical donations through applicable software applications
*Preferred Qualifications and Experience *

* Proven experience as an Administrative Assistant, and/or Virtual Assistant.
* Ability to work collaboratively in a team environment and build positive relationships with the public, volunteers, partner organizations and team members.
* Knowledge of office management systems and procedures
* Working knowledge of office equipment, like printers
* Proficiency in Microsoft Office 365 (Excel, Word, Outlook, Teams, and PowerPoint, (in particular)
* Experience working with Zoom, Canva, Adobe
* Experience in social media and organizational posting
* Excellent time management skills and the ability to prioritize work
* Attention to detail: Accuracy in data entry and record keeping is crucial to ensure integrity of operations
* Strong written, verbal, and digital communication skills are essential
* Ability to manage multiple tasks efficiently and maintain a structured workflow
* Ability to work remotely and/or in person
* Successful completion of a business/ administrative professional program or equivalent experience
* Bi- Lingual in French and English

The NSHPCA operates in a hybrid work environment, combining both in-person (Bedford, NS) and virtual work settings.
Job Type: Full-time
Pay: From $20.00 per hour
Expected hours: 37.5 per week
