*Job Summary:*
We are seeking a highly organized and detail-oriented *Administrative Assistant* to join our team. The ideal candidate will provide exceptional customer support and administrative assistance as the first point of contact located at our Front Desk.
*What your day to day will look like:*
* Manage front desk operations, including greeting visitors, answering phone calls, and directing inquiries appropriately.
* Prepare, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material
* Set up and maintain manual and computerized information filing systems
* Reception duties, answer/direct phone calls, maintain contact lists and electronic enquiries
* Open and distribute incoming regular and electronic mail and other material, FedEx shipment setup & tracking for various departments
* Perform data entry tasks accurately and efficiently to maintain up-to-date records.
* Utilize Google Suite for document creation, scheduling, and communication.
* Assist with administrative tasks such as filing, organizing documents, and maintaining office supplies.
* Order office supplies and maintain inventory, source suppliers and cost reduction
*Additional Responsibilities May Include:*
* Assist Human Resources to prepare onboarding documentation, administration of Health & Safety documentation, issuance of training certificates
* Support Human Resources with administrative recruitment needs, Production & Supply Chain Department with required technical documentation as needed
* Liaise with Human Resources to handle requests and queries from Department Managers
* File weekly daily head count sheets for hourly employees
* Administer temporary agency time sheets on a weekly basis
*What you'll need to succeed:*
* Proven experience as an Administrative Assistant
* Fluency in or Basic understanding of Italian would be an asset
* Knowledge of office management systems and procedures
* Working knowledge of office equipment
* Proficiency in MS Office Suite of products (Word, Excel, PowerPoint, etc.)
* Excellent time management skills and the ability to prioritize work
* Attention to detail and excellent problem-solving skills
* Strong organizational skills with the ability to multi-task
* Excellent written and verbal communication skills
* Work as part of a team and exercise professionalism when dealing with others
