Loewen Body Shop (LBS) is a leader in the collision repair industry, committed to delivering high-quality repairs and services to our customers. Starting out from its humble beginnings in 1937, we have now just expanded into our new state-of-the-art facility in Steinbach, Manitoba. We are now looking for another motivated and experienced Office Manager to join this dynamic team.
*Job Description*
The Office Manager is responsible for overseeing the administrative functions of the collision repair shop. This involves managing office operations, coordinating administrative staff and Customer Service Reps, handling financial tasks, and ensuring the smooth and efficient functioning of the office to support the shop?s operations. Taking direction from the General Manager, they collaborate with other managers and provide office Team Members with the skills and knowledge required for optimum performance. They ensure Team Members are qualified to meet the organization's operational needs and objectives, while contributing to positive morale, satisfaction, and team development.
*Key Responsibilities*
Managerial, Human Resources, Administration and Other:
-Supervise daily operations of all office Team Members. Manage their work schedules and always ensure adequate staffing levels.
-Plan monthly goal-setting meetings with Office Team Members, facilitate manager and tech meetings.
-Perform all required HR/Safety related functions for all staff including hiring, wage reviews, benefits, RRSP?s, documentation, performance management, abiding by company policies and safety procedures, etc. as required.
-Maintain employee personnel files and attendance logs.
Depending on experience the following would be included:
-Releasing payroll and maintaining QuickBooks Online accuracy.
-Communication with Service Canada, including T4?s, WCB, Corporate taxes, ext.
-Take on other duties and projects as determined by business needs.
*Ideal traits needed to perform this role:*
Demonstrated ability to maintain confidentiality.
Proficient with basic numerical equations and comfortable with complex calculations. Also, reasonably efficient when using numerical data in decision making and requires little assistance in processing charts and graphs.
Enjoys influencing others but still willing to follow directions when needed.
Generally outgoing and capable of working effectively in a team environment.
Effective without direct management yet welcomes structure/supervision as needed.
Balances timeliness and deliberation but is comfortable making quick decisions.
Responds appropriately to the needs of others but strongly defends own opinion.
Uses judgement that balances common sense and practical experience.
*Qualifications & Experience*
Valid Class 5 Driver?s License.
High school: Graduation diploma or general education degree (GED)
Book keeping experience
HR management experience
MPI Insurance / Body Shop administration experience
