We are a high-demand, fast-paced specialist clinic, dedicated to providing exceptional care to our patients. Our team is seeking an organized, proactive, and energetic Medical Office Assistant to join us. This role requires someone who can efficiently handle both administrative and clinical tasks while maintaining a professional and friendly demeanor.
*Key Responsibilities:*
* *Administrative Duties:*
* Schedule and confirm patient appointments, including follow-ups and referrals.
* Manage emails and phone calls, providing timely responses to patient inquiries and coordinating with healthcare providers.
* Accurately enter and maintain electronic health records (EHR).
* Manage patient files and ensure documentation is up-to-date and properly filed.
* *Clinical Support:*
* Room patients, and gather medical history before appointments.
* Prepare exam rooms between patients, ensuring a clean, organized, and fully-stocked environment.
* Assist in minor lab duties, including processing and shipping specimens.
* Sterilize medical equipment and maintain proper infection control standards.
* *Patient Interaction:*
* Greet patients warmly upon arrival and ensure their questions are answered.
* Provide guidance on clinic procedures, tests, and follow-up care as needed.
* Communicate with patients regarding scheduling changes.
*Required Qualifications:*
* Certification as a Medical Office Assistant (or equivalent).
* Proven experience working in a fast-paced medical office, preferably a specialist clinic.
* Proficiency in electronic health records (EHR) systems and general office software.
* Excellent communication and organizational skills.
* Ability to multitask and manage time effectively.
* Experience with basic clinical support such as room preparation, and lab duties is preferred.

* Attention to detail and the ability to handle sensitive information confidentially.
* Strong customer service skills, with a compassionate and patient-centered approach.
* Ability to remain calm under pressure and work efficiently in a busy environment.
