Admin Assistant
We are looking for a dedicated and detail-oriented Admin Assistant to join our team. As an integral part of our non-profit organization, the Admin Assistant will play a crucial role in supporting daily operations and ensuring the smooth functioning of our office. The ideal candidate will be organized, possess excellent communication skills, and have a passion for contributing to the mission of providing affordable housing solutions. This position will also be responsible for assisting with Tenant Relations you will play a crucial role in fostering positive relationships between Elk Valley Family Society and its residents.
Responsibilities:
Administrative Support:
* Provide general administrative support, including handling phone calls, emails, and inquiries.
* Maintain and organize files, records, and documents for easy retrieval.
* Assist in the preparation and distribution of internal and external communications.
* Data Entry and Record Keeping:
* Input and update information in the organization's databases and systems.
* Maintain accurate and up-to-date records related to housing applications, tenant information, and other relevant data.
* Maintain accurate records of tenant interactions and concerns.
* Provide data and insights to support strategic decision-making.
Customer Service:
* Interact with clients, tenants, and stakeholders in a professional and courteous manner.
* Maintain open lines of communication with tenants.
* Respond promptly to tenant inquiries, concerns, and requests.
* Address inquiries, resolve issues, and ensure a positive experience for all parties involved.
* Office Supplies and Inventory Management:
* Monitor and replenish office supplies as needed.
* Keep track of inventory and equipment, reporting any shortages or issues.
* Assist with mediation and resolve disputes between tenants.
* Implement proactive measures to prevent conflicts and ensure a harmonious living environment.
Collaboration with Team:
* Work closely with team members to facilitate efficient communication and workflow.
* Collaborate on special projects and initiatives as required.
Policy Adherence:
* Ensure tenants are aware of and adhere to the policies and regulations of the housing society.
* Educate tenants on their rights and responsibilities.
* Enforce policies in a fair and consistent manner.
Emergency Response:
* Collaborate with emergency response teams to review evacuation plans.
* Communicate effectively with tenants during emergencies and provide necessary support.
* Be able to commit time to on call as per on call schedule.
Qualifications:
High school diploma or equivalent; additional education or certification in office administration is a plus.
Proven experience as an office assistant, administrative assistant, or in a related role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
* Excellent communication, interpersonal, and conflict resolution skills.
* Understanding of housing regulations and tenant rights.
* Ability to work collaboratively with diverse groups and individuals.
* Strong organizational and problem-solving skills.
* Empathy and a passion for creating inclusive and supportive communities.
