Administrative Assistant:
*Job Overview:*
We are seeking a highly organized and detail-oriented Administrative Assistant to support our aluminum windows and doors construction team. The successful candidate will manage day-to-day administrative tasks, ensuring smooth office operations, efficient communication, and timely coordination with suppliers, and customers. This role requires strong multitasking skills, a proactive mindset, and a basic understanding of the construction industry.
*Key Responsibilities:*
1. Office Management:
* Handle phone calls, emails, and correspondence, responding to inquiries and directing them as needed.
* Organize and maintain digital filing systems (e.g., project documents, contracts, invoices).
2. Project Coordination:
* Assist in preparing and maintaining project documentation, including schedules, and contracts.
* Track project timelines and update team members on progress and deadlines.
* Liaise with suppliers and vendors for the procurement of aluminum window and door materials.
3. Customer Relations:
* Schedule client meetings, site visits, and coordinate communications between clients and project managers.
* Provide clients with updates regarding project progress, timelines, and delivery schedules.
* Address client inquiries or issues and escalate them to the appropriate team members when necessary.
*Qualifications:*
* High school diploma or equivalent; a degree in business administration or a related field is preferred.
* Proven experience as an administrative assistant.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Gmail, google drive.
* Excellent verbal and written communication skills.
* Strong organizational and multitasking abilities.
* Attention to detail and problem-solving skills.
* Ability to work independently and collaboratively in a fast-paced environment.
*Working Conditions:*
* Remote- work from Home-based role.
* Monday to Friday, full-time position.
Job Type: Full-time
Pay: $18.00-$20.00 per hour
