Shuswap Children?s Association, originally the Shuswap Exceptional Children?s Association, was founded in 1982 by a group of parents of children with support needs who found they were unable to access services for their children. They were joined by community professionals, service providers, and others who shared the goals of the parents.
As an integral part of the Administration Team and as leader within the organization and the community, the Bookkeeper provides essential financial and administrative support to Shuswap Children?s Association?s (SCA). Reporting to the Director of Operations, the Bookkeeper is responsible for organizing and completing a variety of day-to-day bookkeeping operations focused on maintaining an accurate record of SCA?s financial transactions, including accounts payable, accounts receivable, payroll and monthly financial reporting. The ideal candidate will have a strong background in accounting principles and practices, with proficiency in various accounting software programs.
_Finance_
· Keep financial records and establish, maintain and balance accounts using electronic bookkeeping systems.
· Post journal entries, prepare trials balance of books, maintain general ledgers and prepare monthly financial statements.
· Calculate and prepare semi-monthly payroll including calculating statutory holidays, entering time allocation data into the client database, managing employee benefit breakdowns, and calculating and maintaining staff sick and vacation time tracking.
· Complete and submit tax remittance forms, worker?s compensation forms, pension contribution forms and other government documents.
· Approve and reconcile monthly staff expenses.
· Manage accounts payable and accounts receivable processes.
· Develop, implement and maintain a purchase order system.
· Reconcile bank, credit cards, PayPal, Canada Helps, Other Fundraising Platforms, and petty cash as required.
· Manage donor management software including donor contributions, tax receipts, and reporting.
· Assist in budgeting, account analysis and financial reporting as required.
· Assist with annual audit as required.
· Prepare other statistical, financial and accounting reports as needed.
· Utilize accounting software such as QuickBooks, Sage, etc., to process transactions efficiently.
· Ensure all financial information is accurate and up to date.
· Preparation of banking deposits.
_Administration_
· Prepare, document, and submit AFU (Autism Funding Unit) payment requests for all clients involved in SCA?s fee-for-service programs.
· Prepare, document and submit RTP (Request to pay service providers) forms, working directly with clients and program staff as needed.
· Work with other SCA staff and clients to purchase items from ?Justification for Equipment? forms.
· Manage financial documentation and filing.
· Provide backup and support to the Director of Operations.
· In collaboration with the Executive Director, program coordinators, and the Board of Directors, participate in the organization and implementation of staff lead community events, fundraisers and donation drives as required.
_Information Management_
· Manage SCA?s financial and client funding databases and spreadsheets.
· Track clients funding and keep programs up to date on funding outlook.
· Ensure financial files are secure and backed up on a regular basis.
· Maintain confidential financial and client records.
· Assisting with SCA financial policies and procedures as required.
· In collaboration with the Executive Director, maintain and update SCA?s grant database.

· Completion of a college program in accounting, bookkeeping or a related field or completion of two years of a recognized accounting program or courses in accounting or bookkeeping combined with several years of experi
