*Job Overview:*
We are seeking a *Medical Administrative Assistant* to work closely with our Head of Concierge and Engineering teams. The primary focus of this role is to assist in building a solid foundation for process automation and AI implementation, helping enhance operational efficiency at myStoria. This government-funded position offers the opportunity to contribute to innovative healthcare technology while learning and improving administrative processes.
*Key Responsibilities:*
*Process Documentation & Automation:*
* Understand and document the manual processes that are targeted for automation.
* Identify human steps, risks, challenges, and potential scenarios for process automation.
* Collaborate with engineering and compliance teams to research potential roadblocks in automating tasks.
*Data Model Analysis & MedML Contribution:*
* Contribute to data model analysis supporting the application of generative AI and medical machine learning (medML) technologies.
*Administrative & User Support:*
* Assist in scheduling and confirming appointments for staff and users.
* Receive and communicate messages between staff and users, ensuring clear and efficient communication.
* Support onboarding of new users and guide them through initial steps as needed.
* Obtain, sort, file, and verify medical records accurately and securely.
*Meeting Coordination:*
* Prepare draft agendas for meetings and transcribe, distribute meeting minutes.
*Process Development:*
* Assist in determining and establishing new procedures and workflows for enhanced efficiency.
*Staff Supervision & Training:*
* May supervise and train staff in administrative procedures and current software usage.
*Qualifications:*
*Education:*
* Bachelor?s degree or diploma in healthcare administration, business, or a related field is preferred.
*Skills & Experience:*
* Strong attention to detail with excellent organizational skills.
* Ability to work collaboratively with cross-functional teams including engineering, compliance, and medical staff.
* Interest or experience in process automation, AI, or machine learning technologies is a plus.
* Proficient in Microsoft Office Suite, Google Workspace, HubSpot, healthcare management systems, and administrative software.
* Effective communication skills (both written and verbal) with a focus on clarity and professionalism.
* Self-starter with the ability to manage multiple tasks and priorities.
* Proficient in medical terminology.
*Eligibility Requirements:*
* This is a government funded position under the IRAP Youth Employment Program. To qualify as a youth hire you must be under 31 years of age.
* Ability to work remotely with flexible hours.
