The Receptionist is the first point of contact for clients and customers. You are responsible for answering and accurately directing all phone calls and emails in a personable and professional manner and greeting and directing all clients upon arrival. You will answer inquiries and communicate effectively and positively with clients, individuals, other firms, subtrades, and personnel. You are energetic, personable, highly organized, detail-orientated, a strong multi-tasker and motivated to work independently while collaborating positively with the team.
What to expect as a Receptionist at KCC Restoration:
*Communications:*
* Answer and address incoming phone calls and emails in a timely and polite manner.
* Clearly determine the purpose of the call.
* Address customer queries and provide accurate information.
* Forward calls to appropriate person.
* Take and deliver messages accurately and completely.
*Restoration Duties*
* Scan documentation, rename appropriately, and input into job management program, collate paper copies into correct locations.
* Verify employee time sheets against work orders and input hours.
* Collect invoices & purchase orders from staff daily.
* Print invoices received via email, forward to accounting for processing.
* Archive files and paperwork as requested.
* Box archived files as per financial year end.
* Other duties as required when requested.
*Carpet Cleaning Duties*
* Respond to carpet cleaning enquiries via phone or email.
* Schedule carpet cleaning appointments.
* Prepare daily worksheets for employees.
* Prepare quotes for carpet cleaning as requested
*Skills Required:*
* 1+ years of relevant work experience.
* Exceptional customer service skills with a passion to help customers
* Able to demonstrate a positive and professional attitude and always respond promptly to inquiries through various channels.
* Computer proficiency, comfortable using different systems and applications.
* Must be punctual, self motivated, and able to multi-task.
* Extraordinary organization and multitasking skills, able to administrate multiple jobs simultaneously and accurately.
*Working Conditions*
* This position can require long hours on the computer.
* Interaction with a wide variety of people on various issues.
* The nature of this position may require both occasional additional work hours in order to meet project/customer requirements.
* Typical office hours are Monday to Friday 8:00am ? 4:30pm.
