Administrative Assistant
We are currently seeking someone to assist in the day-to-day office administration/front desk responsibilities for a speech and hearing clinic. The ideal candidate is seeking full time work with some flexible hours. The position is the first point of contact with clients; therefore, a friendly, positive attitude and professionalism is required. This role is most suitable for someone who enjoys greeting people at the front desk, performing administrative, general office duties as part of our professional team.
Skills/Qualifications:
· Ability to multi-task with many interruptions.
· High attention to detail
· Provide administrative support and reception services.
· Excellent verbal communication and interpersonal skills.
· Experience in office administration including billing, invoicing, answering phones etc.
· Client service mindset.
· Excellent computer skills in MS Word, some proficiency in MS Excel.
· Able to proofread many documents, therefore attention to detail is critical.
· Must be able to maintain strict confidentiality and client discretion at all times.
· Fast learner, flexible, and open to feedback.
· Highly organized and adaptable.
· Able to maintain strict confidentiality and client discretion.
Duties:
· Greet clients and visitors to our clinic.
· Call clients to remind of appointment.
· Answer phones; schedule appointments.
· Proofread documents.
· Prepare all outgoing reports by proofing and formatting.
· Explain services to clients.
· Receive payments from clients, provide receipts
· Print off daily schedules and prepare files .
· Filing and general office duties.
· Adaptable to learning new things quickly
Education: Post Secondary Education in related field of office administration preferred.
Hours: Full Time 28-30 hours per week. We work a 4-day work week, M-Th.
Salary: $23/hr
